1. General provisions
1.1. This privacy policy (hereinafter referred to as the Policy) regulates the collection of personal data by the Aikido aikikai association “AIDAS” (hereinafter referred to as the Association, we

We collect and process personal data for the following purposes:
2.1. For the purpose of administering association membership and organizing training sessions:
* Data processed: First name, last name, date of birth (age), contact details (e-mail address, phone number), information about training sessions attended, information about membership fee payments, [If necessary, e.g., health certificates or information about injuries – this is special category data that requires stricter conditions].
* For minor members (under 14 years of age): We additionally collect the first and last name and contact details of one of the parents (guardians) and their consent for membership and data processing.
* Legal basis: Performance of a contract (participation in the Association’s activities), legal obligation (legal requirements) and consent (for special categories of data, if applicable).
2.2. For the purpose of responding to your inquiries (via contact forms on the Website or by email):
* Data processed: Name, email address, telephone number (if provided), content of the inquiry.
* Legal basis: Our legitimate interest in providing information and responding to inquiries.
2.3. For the purpose of analyzing website traffic and improving performance (using cookies):
* Data processed: Anonymized information about browsing sessions, part of the IP address, browser type, time of visit, pages viewed.
* Legal basis: Your consent (given via the cookie bar).
2.4. For the purpose of organizing and publicizing events (seminars, camps):
* Data processed: First name, last name, contact details (for registration). Photography or filming may take place during events. We will inform you of this in advance.

* Association members’ data is stored for the entire duration of membership and for two years after membership ends (in accordance with legal requirements, e.g., accounting requirements).
* Data from inquiries submitted via contact forms is stored for 2 years after a response is provided, unless a long-term relationship is established.
* Data collected by cookies is stored for up to 2 years, depending on the type of cookie.
5. Transfer of data to third parties
5.1. We do not transfer your personal data to any third parties, except in the following cases: * If we have received your explicit consent to do so.
* Service providers (data processors) who help us administer the Website and provide IT and accounting services. We require them to ensure the same level of data protection.
* State institutions (e.g., the State Tax Inspectorate, Sodra, sports federations), when required by law.
* Analytics service providers (e.g., Google LLC), but mostly anonymized data is transferred. Google LLC applies the requirements of the EU-US Privacy Shield Framework, which ensures an adequate level of protection.
